Job Title: Sponsorship Officer-database”

Reports to: Cluster Sponsorship Officer

Location: Cluster Office

Purpose of the position:

To handle sponsorship business processes in the cluster and facilitates proper functioning and updates of the sponsorship systems (KPI, CMS and STEP) as per Sponsorship Minimum Programming Standards (SMPS).

Major Responsibilities

1: Receive, sort and dispatch all mails/parcels and seasonal cards to and from the ADP and NO

2: Process information in STEP and support ADP staff to respond to email queries from various SOs and submit periodic reports (weekly, monthly, quarterly, biannual and annual)

3: Receive Child to Sponsor (C to S) mails, APR and Christmas cards from ADPs and ensure that mails and parcels are encoded properly, verify sponsor address, print and facilitate affixing of sponsor labels and stamps

4: Handle and distribute all incoming GNs from SOs to ADPs along with the preparation of summary GN reports by SOs.

5: Key in data on STEP and SD+ in a timely manner and update RC information on an annual basis and CMS on a quarterly basis

6: Read and create S.O. diskettes, prepare discrepancy memos for reconciliation once per week and perform daily backups

7: Receive, review and process digital images and transfer them to the respective Support Office

8: Ensure that all project data presented in PIH/PMIS are accurately updated into sponsorship databases for the ongoing and new projects.

Qualifications:  Education/Knowledge/Technical Skills and Experience

Minimum Qualification required: Qualification required: BA in social sciences and other related fields

Basic knowledge in computer
Experience:  1 - 2 years

Job Title: ICT Officer

Reports to: Administratively to Support Services Director & Technically to ICT Manager at HO

Location: Dar Office

Purpose of the position:

To ensure effective and efficient implementation of all network/ system applications and hardware maintenance for smooth running of ICT operations

Major Responsibilities:

1: Maintain ICT infrastructure in line with partnership guidelines within the Dar es salaam based offices and Dar Urban ADPs.

2: Facilitate the implementation and maintenance of all information systems in accordance to WVT guidelines.

3: Provide timely customer focused support system and structure that delivers services, offers troubleshooting within the Dar es salaam based offices and Dar urban ADPs.

4: Provide supportive monitoring visits to projects/programs in order to offer system and maintenance services that are within the standards at the cluster and ADP level.

5: Facilitate capacity building to project/program staff, informing  of any changes on systems and other ICT related issues

6: Undertake regular data backups with related data logs sheets and installation of information software in line with WV policies and guidelines

7: To ensure that all data base (operations, sponsorship and finance) are functioning well and that the users have right access within the zone.

8: Facilitate the disposal of ICT materials in collaboration with cluster procurement team.

9: Ensure Implementation of IT policies, procedures, standards and guidelines and advise on any changes of the same.

Qualifications:  Education/Knowledge/Technical Skills and Experience

Job Title: Senior Programs Officer- Grants &PNS

Reports to: Grants & PNS Manager

Location: Head Office

Purpose of the position:

the provide technical support in designing, monitoring and evaluation of Grants and Private Non Sponsorship Programs (PNS) within WVT areas of operation

Observe mission and core values of World Vision and demonstrate a quality of spiritual life that is an example to others.

Major Responsibilities:

1: To review Grants/ PNS documents and build capacity of staff in ensuring compliance of all Grants and PNS standards and donor regulations

2: Provide technical support in the development of concept papers, develop proposals and build capacity to WVT staff.

3: Support field staff in fostering network with donors and other partners on Grants and PNS projects

4: Timely review and submission of reports to donors for Grants and Private Non Sponsorship as per WV standards

5: Review and provide input in project/program plans and budgets to ensure compliance with WVT standards/guidelines

6: Analyze project/program goals accomplishment Vs. budget utilization of Grants and PNS project/program

7: Timely follow up of internal, external, Global Centre (GC) audit and evaluation/donor recommendations to ensure that they are responded to and fully implemented

8: Provide supportive monitoring on integration and implementation of Grants and PNS program/project activities

Qualifications:  Education/Knowledge/Technical Skills and Experience

Job Title: Senior Communications Officer – External Communications

Reports to: Communications Manager

Location: Dar es Salaam, Sub-Office, Dar es Salaam

 Purpose of the position:

The Senior Communications Officer – External Communications is mainly responsible to undertake the planning, development and delivery of World Vision external communications strategy. The incumbent will oversee implementation of the communications brand policy for external publics. Effective development of communications resources for external audiences, in the form of print publications and videos comprise one of the key roles. He/she will build capacity of key staff to improve effective communication within the organization. The incumbent is also responsible for promoting public visibility of the organization as well as building relations with media. This position will report to the Communications Manager.

The Senior External Communications Officer will work closely with:

The NDs office
The HR team
Directors, Department Heads and Senior Managers
The incumbent will also observe the mission and core values of World Vision and demonstrate a quality of spiritual life that is an example to others.

Major Responsibilities:

1: Develop and maintain the external communication plan and budget.

Develop external communications products including media kit, WVT backgrounder, executive bios, Q&as and talking points to keep external stakeholders effectively informed and engaged

2: Work with World Vision specialists to develop quality print publications and materials and video, online-based products for effective donor and public engagement by WVT -both in-country and internationally

3: Produce consistently and timely quality feature stories and photos for sharing with World Vision Partnership-wide website, WVT website as well as SHARE for World Vision Marketing.

4: Take the lead in working and maintaining strategic media relationsto generate proactive and positive news coverage for important media opportunities and interviews that promote and protect the public image and ministry of WVT. Create opportunities for World Vision spokespeople to engage directly with the media, including interviews, speaking engagements and panels. Monitor WV and other development partner’s media coverage

5: Assist the Communications Manager to develop and enforce WVT’s external communications branding policy and procedures/guidelines to facilitate appropriate and effective flows of information and communication with external stakeholders outside the organization

6: Build capacity of key staff to strengthen effective communication of the mission and vision of World Vision to external audiences

7: Provide support in strategizing, managing, and coordinating national and global advocacy communications campaigns

 Qualifications:  Education/Knowledge/Technical Skills and Experience

The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:

Minimum Qualification required: Advanced Diploma in journalism or communications/public relations.
Experience: On job training
Preferred Qualification: BA in journalism or communications/public relations.

English language fluency (written and verbal)
Excellent writing skills, with photographic and/or video skills also preferred
Ability to maintain effective working relationships with all levels of staff and public
High level of confidence and confidentiality

Job Title: Senior Financial Analyst:
Reports to: Grants Finance Manager
Location: Head Office
Purpose of the position:
To provide technical support in financial management, implementation of financial analysis, capacity building and networking with Support Office on finance matters related to projects.

 Major Responsibilities
1: Review and consolidate monthly program /projects funding request and provide advice on budgetary control and cash flow management.
2: Perform risk mapping and mitigation for grants finance operations.
3: Conduct periodic project/partner visit for financial review and capacity building in finance management and tools
4: Conduct monthly FFR review and analysis and follow up with zonal/OPS/Grants teams on implementation status.
5: Provide technical support in proposal writing, review of AOPs, DIPs Log frame budgets in line with donor requirements and partnership guidelines
6:Ensure that monthly LDRs for all staff are accurately filled and payroll reconciliations are done in compliance with LDR policy
7:Analyze all Audit Reports and spot key finding recommendations to ensure that they are adequately addressed
8: Facilitate preparation, review and submission of donor reports
9: Post projects budget request into PBAS database including posting budgets into Sunsystems database.
10: Network with Support offices/donors on finance related matters concerning the grants projects
Minimum Qualification required:

  • Minimum Qualification required: Bachelor Degree in Accounting
    • Experience:  5 yrs in Financial Management
    • Preferred: CPA
    • Technical Skills & Abilities:
      • Excellent computer skills in Excel & Sun-systems software.
      • Demonstrated ability in supervision
      • Experience in managing donor funds
      • Working knowledge of Sponsorship and grants operations, finance services and practices is an added advantage.
